Most service business owners have a vague sense that missed calls cost them money. This guide turns that into a concrete number you can act on.
Step 1: Pull Your Missed Call Data
Log into your phone system or ask your answering service for the last 30 days of call data. You want: total inbound calls, total answered calls, and missed/unanswered calls.
- Businesses without a dedicated receptionist miss 30–50% of calls
- After-hours calls have a 60–80% miss rate
Step 2: Calculate Your Average Job Value
Take your last 3 months of revenue and divide by the number of jobs completed. This is your Average Job Value (AJV).
Example: $90,000 revenue ÷ 60 jobs = $1,500 AJV
Step 3: Estimate Your Conversion Rate on Inbound Calls
If someone calls you, what percentage become paying customers? For most service businesses this is 40–65%. Use 50% as your baseline if you're unsure.
Step 4: Run the Math
Monthly Missed Call Revenue Loss = Missed Calls × Conversion Rate × Average Job Value Example: 80 missed calls × 50% conversion × $1,500 AJV = $60,000/month
Step 5: Annualize It
Multiply by 12. That's the annual leak. For the example above: $60,000 × 12 = $720,000/year. This number is almost always shocking. Most owners have never calculated it.
The fix is a missed call text-back system that responds within 60 seconds of every unanswered call. Average recovery rate: 30–40% of missed call revenue. If your number is $10,000+/month, this system pays for itself in the first week.
